POSITION SUMMARY:

Under the general supervision of the Office Manager, this individual will be responsible for assisting with administration functions to include inventory, purchases, invoice recording, ABI scheduling, and Cash Room duties.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Include the following.  Other duties and responsibilities may be assigned.

 

  • Inputting invoices in Bypass inventory system by the set deadline.
  • Place office supply and misc. supply orders for the department.
  • Scheduling all part time and full time food and beverage staff in ABI.
  • In the event that we have cash placing cash orders
  • Meeting with Brinks for machine fills
  • Working events that involve cash
  • Keeping track of all full time and part time staff able licenses
  • Other duties as assigned

EDUCATION AND/OR EXPERIENCE:

 

  • Must have a high school diploma or GED equivalent.
  • Two (2) years related experience and/or training in Food & Beverage Operations, Point of Sale systems, Inventory accounting, Database entry.
  • Equivalent combination of education and experience will be considered.

 

KNOWLEDGE, SKILLS AND ABILITIES:

 

  • Demonstrate working knowledge of Food and Beverage operations, including inventory, invoices and purchasing procedures.
  • Engage in decision-making that is generally governed by procedure and guided by policy.
  • Follow oral and written instructions and communicate effectively with others in both oral and written form.
  • Organize and prioritize work to meet deadlines. 
  • Work effectively under pressure and/or stringent schedule to produce accurate results.
  • Maintain an effective working relationship with clients, employees, exhibitors, patrons and others encountered in the course of employment.
  • Remain flexible and adjust to situations as they occur.

  • Manual dexterity - Regularly required to use hands, to finger, handle or feel.

  • Normal office environment.
  • Some exposure to warehouse and/or kitchen environment.
  • During events may be exposed to moderate to extreme noise.

 

COMPUTER SKILLS

 

  • Operate a personal computer using Windows and Microsoft Office software. Must have good working knowledge of WORD and EXCEL software programs.
  • Operate standard office equipment including copier, scanner and fax machine.
  • Some experience with Bypass, Micros, Reserve or other point-of-sale system.

 

HOURS OF WORK AND TRAVEL REQUIREMENTS

 

  • Travel negligible
  • Requires ability to work extended and flexible hours including nights, weekends, and holidays in addition to normal business hours.
