Guest Relations and Event Security Manager - R100111656

The Paycom Center and Prairie Surf Studios is seeking an enthusiastic and highly motivated individual for the position of Guest Relations and Event Security Manager with a strong emphasis on training and development of staff.  The position will hire, train, and manage guest relations and event security staff to provide world class customer service to our guests, tenants, and clients.  The position will oversee a department of 300-400 Guest Relations and Event Security personnel and provide staffing for the Oklahoma City Thunder and Oklahoma City Blue games, as well as other events scheduled at the facility. This position administers the Guest Relations & Event Security functions on a full-time basis through delegation and attendance at events, often requiring work extended and/or irregular hours including nights, weekends and holidays.

SUPERVISORY AND ADMINSTRAVTIVE RESPONSIBILITES

  • Lead 300 – 400 PT employees, including Event Security, Guest Relations, and Event Day Supervisors.  
  • Responsible for interviewing, hiring, training and continuously developing employees; planning, assigning, and directing work; rewarding and disciplining employees; addressing complaints and resolving problems. 
  • Ensure that all Guest Relations & Event Security policies and procedures are followed.
  • Complete performance appraisals as needed. 
  • Develop and implement policies, procedures and training programs for Guest Relations & Event Security staff.
  • Creates, distribute, and monitor deployment for Event Security and/or Guest Relations staff. 
  • Order, maintain, and monitor Guest Relations & Event Security equipment and inventory including uniforms, wands, and search equipment.
  • Using ABI Mastermind ABI Mastermind TMSS Workforce Management Software system to schedule employees and create deployments. 
  • Ensure accurate timekeeping records and payroll is completed for all employees on time. 
  • Create post event reports. 
  • Manage lost and found. 

 

TRAINING RESPONSIBILITES

  • Create and facilitate productive, interactive, and engaging training programs for onboarding and departmental annual trainings in guest relations and event security. 

 

CREATIVE RESPONSIBILITES

  • Create and maintain departmental manuals, training guides, and employee recognition programs.   

 

EVENT RESPONSIBILITES

  • Meet with show promoters to discuss guest services and event security needs. 
  • Conduct pre-event briefings including event details and special requirements for GRES supervisors.
  • Coordinate with Guest Relations & Event Security supervisors for sign in and release of team members.
  • Responsible for overall crowd management for events.
  • Assist with last minute and/or emergency patron needs.
  • Ensure guests feel welcome by greeting and seating guests in the arena in a friendly, professional manner to assure a positive impression.
  • Enforce all building policies and procedures during an event to assure safety and security for all.
  • Manage entry lines including ticket-taking, walk-through metal detectors, and bag searches. 
  • Manage functionality of walk-through metal detectors, hand wands, and ticket scanners.   
  • Respond to and investigate incidents/inquire with witnesses on scene.
  • Serve as a point of contact for patron complaints and Guest Relations Supervisors & Event Security and Representatives concerns/issues and respond in a prompt, kind, and courteous manner. 
  • Assist with last minute pre-event needs, such as setting-up, decorating, finding materials, marking chairs, etc.
  • Work in conjunction with the ADA coordinator to ensure the needs of guests with disabilities are met and ensure overall ADA guidelines are in compliance.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Prepares facility for shows including chairs, stages, tables, drape, stanchion and other equipment as assigned.
  • Participates in the installation of basketball courts, ice surfaces, subfloors, and retractable seating as required for the event.

  • As needed cleans interior and exterior glass.
  • Disposes of all waste, including bulk trash removal from building in all areas.

ASM, the leader in privately managed public assembly facilities has an excellent and immediate opening for an Event Manager in Oklahoma City. Under general supervision, the Event Manager controls and monitors the customer contact aspect and front-of-house division of the facility.  Plans, monitors, directs, and manages the event coordination, security, crowd control, exhibitor services, outside contractor service functions, and enforces fire marshal regulations.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Supervise Event Coordinators and train them on successful and appropriate business practices.
  • Develop and maintain positive and impactful relationships with clients, co-workers, and other business entities.
  • Work alongside the Senior Event Manger and Senior Director of Events to develop new policies and procedures for event management.
  • Ensure successful event coordination activities by supervising and training Event Coordinators.

  • Coordinate with marketing department all media entry into the building before, during or immediately following events.
  • Assist in preparation of facility budget and estimated revenues.
  • File all personal injury and accident reports that may occur during events to management office.
  • Maintain the proper image and generate positive public relations with artists, clients, exhibitors, patrons, and staff.
  • Make immediate decisions and communicate with all users of the facility in an emergency situation.
  • Communicate with clients to obtain necessary technical requirements and other event related information.
  • Inspect buildings and specific meeting areas to evaluate suitability for occupancy, considering such factors as air circulation, lighting, location, room size and specific event requirements.
  • Ensure that the equipment, physical set-up, and personnel provided meet the requirements of the event and the client's contractual agreement.
  • Monitor performance of front of house staff including guest services, security, medical and event staff.
  • Ensure all pertinent information is obtained, compiled in event files, and distributed to proper facility departments.
  • Manage the preparation for upcoming events. 
  • Coordinate and satisfy the requirements of multiple events occurring simultaneously.
  • Respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community.
  • Engage in decisions related to crowd management in a prompt and decisive manner during crisis situations

ASM, the leader in privately managed public assembly facilities, is looking for an energetic and friendly individual to fill a part-time Event Security role for ASM-OKC. Under the supervision of the Guest Relations and Event Security Managers, the primary focus of this individual is to ensure the safety of guests and secure restricted areas.  This is a part-time position that is usually scheduled to work after normal business hours.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

Include the following.  Other duties and responsibilities may be assigned.

  • Accurately check all staff/guests bags as they enter the arena, using x-ray viewing equipment, to determine whether items contain objects that warrant further investigation, and set bags aside for searching or re-screening as indicated by equipment.
  • Operate a walkthrough magnetometer to screen guests, employees and contractors entering the arena.
  • Ensure guests feel welcomed by greeting guests to the arena in a friendly, professional manner.
  • Verifies credentials to ensure control of access into restricted areas.
  • Clean and disinfect high touch point surfaces with a cleaning cloth multiple times per shift, like x-ray equipment, ticket kiosks, handrails, and search tables.
  • Assist guests in ticket scanning kiosks when needed.
  • Responds immediately and professionally to guest disturbances/incidents.
  • Secures the perimeter of ticketed areas.
  • Arrives for shift on time, neatly groomed and in a clean, pressed well maintained uniform.
  • Accurately and thoroughly complete incident reports when needed.
  • Effectively diffuse potentially volatile situations.
  • Works cooperatively with other departments and vendors within the arena.
  • Interacts with guests in a polite and professional manner.
  • Answers guests’ questions in a knowledgeable, helpful and professional manner.
  • Consistently and continually enforces facility policies and procedures relative to prohibited items, disruptive guests, etc.
  • Monitor the crowd during all events.
  • Provide assistance to guests during emergency situations such as sheltering in place and evacuations of the building.

QUALIFICATIONS

  • Ensure guests feel welcomed by greeting and seating guests in the arena in a friendly, professional manner.

  • Act as a resource and host to guests visiting the Arena and Convention Center by maintaining a working knowledge of our facilities and special events.
  • Assist guests with elevator/escalator services, including ADA elevator.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Stand guard during events. Tour post periodically to ensure safety of patrons, staff, vendors, participants and others on premises.
